Tramaproof / Platform / Supplier communication

Every request to a supplier, in one place.

Tramaproof writes, sends and follows up the requests to your suppliers from a single page. Each message leaves in the supplier's language, reminders go out on a schedule you set once, and the history of every exchange stays in the same place as the documents it produced.

The Messages page

One page for what you ask and what comes back

Every request, reminder, chain invitation and consent request to a supplier is written and sent from the same page. The list shows who was asked, for which product, for what purpose and at what stage each request is. Every button elsewhere in the platform that asks a supplier for something opens this page with the context already filled in.

  • Filters by state: late, not opened, drafts, complete
  • Each request labelled by purpose: passport, supply chain, packaging
  • A request counts as late seven days after sending if its documents are still missing
Writing

An email, or a link to share

You choose the contact and the language, add a note and send. The list of documents requested is added to the message by the platform, not typed by hand. When a supplier is easier to reach by phone or chat, you copy the link instead and nothing is emailed.

Reminders

They go out on their own, at the right time

Once a request is sent, Tramaproof follows it up for you: by default it sends two reminders five days apart, and it stops as soon as the supplier answers, so nobody is chased for a document already sent. The schedule is yours to set, once for the whole brand. After fourteen days a request still open passes to your team, whose time goes only to the suppliers that need a phone call.

History

Every exchange with a supplier, in one history

Requests and chain invitations sit in one list, newest first, and each entry shows where it stands, from sending to opening to the answer. You always know whom you asked for what, who has opened the message and who has already answered, without searching through the mailboxes of different colleagues. When you need to reconstruct how and when a document was requested, the answer is on one screen.

What comes back

The documents a supplier uploads through its link arrive in the Inbox, grouped by supplier, request and day. Reading a message, deciding on a file and archiving it are three separate acts, and none of them happens on its own.

Decide

Accept, or send it back with a reason

Nothing is accepted automatically. A file sent back carries the date and the reason, and one button asks for it again with a message already prepared.

Archive

Always by hand, and always reversible

An archived message keeps its words and its attachments, and can be put back in the Inbox. Deleting a message hides it but never removes the documents it carried, because a passport may rest on them.

Confirm

You know when a message has left

Each email that leaves is confirmed on screen, with the recipient's name and address. If it does not leave, the screen gives the real reason. The notification bell keeps the emails sent and the documents accepted or sent back.

In the supplier's language

You write your own templates for requests, reminders and the opening of invitations, one for each language your suppliers use; the platform's built-in texts cover the rest. Each message is sent in the language declared for that supplier, and the template page lists the suppliers' languages that still have no text of yours. If a template is missing, the preview says which language will be used instead, before you send.

Messages carry your company name as the sender, and replies can go to your own mailbox. Every email ends with the same footer: who sent it, that the files go only to that brand, and that the supplier needs no account and no password.

In practice

Three situations the page is built for

A certificate is missing

The product page shows the gap and the supplier who owes it. One click opens the message with that supplier, that product and that document already selected.

A document is wrong

You send it back with the reason. The supplier receives a request to redo it, and the new file arrives in the Inbox beside the history of the first.

A company in the chain is new

A company that has never used Tramaproof receives an invitation in which only the opening line is yours. The rest says where its address came from and which supply the request concerns.

Questions

Do my suppliers need an account to answer?

No. They open the link in the message, answer one question at a time and upload their documents. There is no account, no password and nothing to install.

When do the reminders stop?

As soon as the supplier answers, or fourteen days after the first message with the default schedule. The request then comes back to a person, who decides what to do. The schedule is set once for the brand and can be changed.

In which language does the supplier receive the message?

In the language declared for that supplier, or the one you choose when you write. You write a template once for each language your suppliers use, and it is used from then on; the preview tells you in advance if a message would fall back to another language.

Does a document the supplier uploads go straight into the passport?

No. It arrives in the Inbox and waits for a decision. A person accepts it or sends it back, and only an accepted document can support a passport datum.

What happens if an email cannot be delivered?

The screen says why: the address is malformed, it has bounced before, or the provider refused it. The request is marked as failed in the history, and you can send the link another way.
